POLICIES AND REGULATIONS

Mot-Ka Educational Center

Our Commitment

At Mot-Ka Educational Center, our priority is to provide a stimulating, structured, and caring French-speaking environment where children can learn, express themselves, and build confidence in French.

Our policies are designed to ensure:

  • group stability;

  • educational quality;

  • a positive experience for every child and family.
     

By completing your child’s registration, you agree to the following terms and conditions.

Our team remains available at all times to answer your questions.

  1. General Registration Terms
     

At Mot-Ka Educational Center, most programs operate through monthly subscriptions with recurring payments.
 

  • Payments are automatically charged at the beginning of each billing cycle;

  • Displayed prices do not include applicable taxes;

  • Spaces are limited to ensure quality supervision;

  • Subscriptions support group stability and continuous progress.
     

Certain activities may also be offered individually, subject to availability.
 

2. Registration and Assessment Fees
 

  • A non-refundable registration fee of $50 is required upon initial registration;

  • For Mot-Ka Academy, a diagnostic assessment is recommended;

  • The assessment fee is $75 (non-refundable).
     

This assessment allows:

  • appropriate placement;

  • educational differentiation tailored to the child’s needs.
     

3. Commitment and Cancellation
 

  • Fees are non-refundable once the cycle has started;

  • Subscriptions may be cancelled at any time;

  • All cancellation requests must be submitted by email;

  • A minimum notice of 7 days before the next payment is required.
     

PLEASE NOTE: A child’s absence does not constitute notice of withdrawal.
 

4. Absences and Make-Up Classes
 

  • Sessions must be used within the current month;

  • Absences are neither refundable nor transferable;

  • Make-up classes may be offered depending on availability, without guarantee.
     

Regular attendance is essential to the child’s progress.
 

5. Pause Policy
 

  • A maximum pause of two (2) months per school year may be granted;

  • The pause must cover a full month;

  • No sessions will be carried over during the pause period;

  • Payments will automatically resume at the end of the pause.
     

6. Failed Payments
 

If a payment is declined:

  • An automatic retry will be attempted;

  • In the event of failure, the subscription may be suspended;

  • A $20 administrative fee will be added.
     

Parents are responsible for keeping their payment information up to date.
 

7. Staff and Supervision
 

Mot-Ka provides educational supervision by a qualified team.

  • All educators follow the center’s philosophy and standards;

  • Substitutions may occur without prior notice;

  • All staff members hold valid criminal background checks.
     

If a session must be cancelled by Mot-Ka:

  • it will be rescheduled or credited.
     

8. Individual Sessions
 

Certain one-time activities may be offered without a subscription only when:

  • the educator-to-child ratio allows it;

  • spaces remain available;

  • regular subscribers retain registration priority.
     

Mot-Ka Academy is offered exclusively through subscriptions to ensure structured and continuous progress.
 

9. Health, Allergies, and Safety
 

Mot-Ka is not an allergen-free environment.

  • Any allergy or medical condition must be declared upon registration;

  • Children with severe allergies must have their EpiPen accessible at all times;

  • Parents must provide all necessary information regarding their child’s health.
     

Parental cooperation is essential to ensure everyone’s safety.
 

10. Exceptional Circumstances
 

In the event of circumstances beyond the center’s control (e.g., mandatory closure, force majeure, or exceptional situations):

  • credits may be applied;

  • no refunds will be issued.
     

11. Parental Authorizations
 

Communications
 

Parents agree to receive:

  • important communications;

  • administrative information;

  • news, events, and promotions.
     

Unsubscribing from promotional communications is possible at any time.
 

Photos and Videos
 

A separate authorization will be requested during registration.
 

Photos and videos may be used:

  • for educational purposes;

  • for promotional purposes.
     

No financial compensation will be provided, and all content remains the property of Mot-Ka Educational Center.
 

12. Trial Sessions
 

  • Trial sessions are offered subject to availability;

  • Reservation is mandatory;

  • Details will be communicated upon request.
     

13. Use of Restrooms Located in the Common Areas of Mot-Ka Educational Center
 

Parents acknowledge that they have been informed that the restrooms used by children participating in the center’s activities are located outside the center’s premises but within the common areas of Mot-Ka Educational Center.
 

Trips to the restrooms are carried out according to the child’s age, level of independence, and needs, in accordance with the supervision procedures established by the center.
The center takes all reasonable measures necessary to ensure the children’s safety during these trips. However, parents acknowledge that the common areas of Mot-Ka Educational Center are accessible to the public and consent to their child using these facilities as part of the center’s normal activities.

By signing these policies and regulations, parents confirm that they have been informed of the restroom location and accept this operating procedure.
 

14. Children’s Behaviour Policy
 

Purpose
 

Mot-Ka is a calm, respectful, and safe environment where French is valued within a positive atmosphere.
 

Expectations
 

Children must:

  • respect educators and other children;

  • use appropriate language;

  • participate in activities;

  • respect materials and facilities;

  • follow instructions.
     

Unacceptable Behaviour
 

The following behaviours are not tolerated:

  • physical or verbal violence;

  • bullying or disrespectful behaviour;

  • significant disruption of the group;

  • repeated refusal to cooperate;

  • failure to follow the center’s rules.
     

Interventions
 

In the event of inappropriate behaviour, the following measures may be applied:

  • reminder of expectations;

  • verbal warning;

  • temporary removal from the activity;

  • communication with parents.
     

Additional Measures
 

If behaviours persist:

  • a meeting with parents may be requested;

  • an intervention plan may be implemented;

  • temporary suspension may be applied.
     

Mot-Ka reserves the right to terminate a child’s participation if their behaviour disrupts the proper functioning of the group or compromises participants’ safety.
 

Mot-Ka Approach
 

We prioritize:

  • positive reinforcement;

  • development of social skills;

  • a caring, consistent, and structured environment.
     

15. Acceptance of Policies
 

By completing registration, you confirm that you:

  • have read and understood these policies;

  • accept the registration terms;

  • accept the payment and cancellation conditions;

  • accept the health and safety policies.
